The brief

We talk through the purpose of the trip, headcount, possible dates and budget range, over a call or at your office.

Concept and budget

Our team designs the route, hotels and activities with an indicative budget within 5–7 working days, revised until it matches what you need.

Formal quotation

An itemised quotation issued to your company, with payment terms stated, ready for procurement and whoever signs it off.

Documents and visas

We handle group visas, travel insurance, the traveller list and the paperwork your HR team needs, and we chase everyone until it is complete.

On the trip

The Wanvela team travels with the group throughout, with a photographer, so your HR team joins as travellers rather than as trip managers.

06

After the trip

We hand over the photo album for your internal communications, along with a full cost summary and the accounting documents.

FAQ

What companies ask us

Is there a minimum group size?

No. We organise trips for anything from a handful of executives to groups of a hundred or more. How we staff and run the trip adapts to the size of the group.

Can you issue a tax invoice to our company?

Yes. Wanvela operates as Basecamp Ventures Co., Ltd. We issue quotations, invoices, receipts and full-form Thai tax invoices to your registered company.

What are the payment terms?

A 50% deposit on confirming the programme, with the balance due before departure as set out in the quotation. We accept corporate bank transfer and accommodate withholding tax under your company's policy.

How far in advance should we contact you?

We suggest 90–120 days for high season such as Northern Lights or the Christmas Markets, and 60–90 days for other routes. With less time we design around what can actually be booked and tell you the constraints up front.

Can you run team building or meetings during the trip?

Yes. Meeting rooms, presentation equipment, company dinners, award ceremonies and group activities can all be built into the programme, designed around the purpose of the trip rather than pulled from a standard list.

Do you handle visas for the whole group?

We handle the whole group: preparing documents, booking appointments and following up on results, along with travel insurance for every traveller.

Can traveller names be changed later?

Generally yes, before tickets are issued and before visa submission. After that it depends on each airline's and hotel's terms, which we state clearly in the quotation from the start.
